Associate Faculty Support Specialist

POSITION SUMMARY:

As a key member of the Associate Experience team, the Associate Faculty Support Specialist significantly contributes to Post University’s commitment to excellence, providing guidance, direction, and support to all associates, student workers, and associate faculty members. They oversee student recruitment, student hiring, and payroll, benefits reconciliation, and various aspects of the associate faculty lifecycle, including hiring, onboarding, contract management, and implementing process automation initiatives for enhanced efficiency. This is a full-time position offering a hybrid schedule.  The ability to work at least 25 hours per week on-site at Post University’s main campus is preferred.

ESSENTIAL ACCOUNTABILITIES:

  • Exemplify Post University’s non-negotiable behaviors and values to reinforce its culture.
  • Collaborates with regulatory compliance to enhance and oversee the student work-study program, as well as the hiring, onboarding, payroll, and auditing processes.
  • Coordinate student orientation, onboarding protocols, and other processes for all student employees.
  • Oversee and improve Associate Faculty and Adjunct hiring, onboarding, and auditing processes.
  • Assist with the Associate Faculty and Adjunct contract process by providing follow-up support, uploading and updating contracts, maintaining Associate Faculty and Adjunct Nursing credentials, course approvals, payroll data, and investigating payroll discrepancies.
  • Act as the department’s primary contact for Associate Faculty members and Adjuncts regarding Associate Experience documentation, transcripts, and audits related to employment, as well as addressing issues, rules, and regulations.
  • Compile and update Associate Faculty and Adjunct records (hard and soft copies) and ensure compliance with all related regulatory personnel filings by making sure all required documentation is present in each associate’s personnel file, including job description and transcripts.
  • Maintain Zendesk ticket processing for Associate Faculty new hires and transcripts.
  • Create and distribute Subject Matter Expert (SME)/Adjunct Designer offer letters and schedule compensation when offer letters end.
  • Manage and administer the Post University tuition reduction benefit program, overseeing all aspects, including the application process, policy enforcement, and ensuring compliance with relevant regulations and standards.
  • Support Payroll Specialist with bi-weekly Associate Faculty and Adjunct payroll completion, distribution, and related communications.
  • Act as backup to other functional areas where needed.
  • Create process manuals for each area of responsibility in a manner that is shareable and maintainable for all associates of the Associate Experience department.
  • Develop and implement process automation and workflow efficiencies within the department.
  • Conduct training on ADP Workforce Now usage and functionality for Associate Faculty and Program Chairs.
  • ADP report writing, database management, and auditing in support of AE Generalists.
  • Stay updated and informed of legal employment changes through various educational resources such as SHRM.
  • Prepare special reports and presentation materials as required.
  • Maintains all associate and student records to meet compliance standards.
  • Performs other duties as assigned.

Minimum Qualifications & Competencies:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.   • Bachelor’s degree in human resources or a related field or equivalent education/experience.
  • Experience working in a higher education institution or similar academic environment providing support or services to students, faculty, or staff is highly desirable.
  • At least two years of experience in business support, preferably in HR.
  • Experience using ADP Workforce Now is preferred.
  • There is the potential for this role to be hybrid. Ability to work at least 25 hours per week on-site at Post University’s main campus is preferred.
  • Strong problem-solving skills, including the ability to identify relevant issues, draw conclusions, and make responsible recommendations.
  • Demonstrated ability to exercise sound judgment and attention to detail.

Physical Limitations:                                                                                                                          

  • Physical Demands – While performing the essential functions of this job the employee is frequently required to sit, talk, hear, stand, walk, bend, stoop, etc.; is occasionally required to lift and/or move up to 50 pounds; is occasionally required to maintain body balance while ascending or descending, and to maintain body equilibrium while bending at the waist or at the knees. Must be able to work long or irregular hours as well as be capable of on-site response to all manner of emergencies arising at any hour of any day.
